// the problem

What this replaces

Reconciliation by spreadsheet

A bank statement, a student list and three days. Every month, forever, and one transposed digit undoes it.

Payments nobody can trace

A parent paid. Which child, which term, which levy? The teller's narration is the only clue and it is usually wrong.

Clearance queues

Students queue to prove they paid because the record cannot prove it for them.

Money outside the ledger

Departmental collections taken in cash never reach the central accounts in any form the auditor can follow.

// what it does

Fee collection
and automatic reconciliation

Collection

Every channel

Card, transfer, USSD and bank branch. The channel is the parent's choice; the record is the same either way.

Reconciliation

Matched on arrival

Each payment carries a reference bound to the student, so posting is automatic rather than reconstructed.

Invoicing

Billed by rule

Fees set by programme, level and session. Instalments and part-payments tracked without a side spreadsheet.

Clearance

Proof from the record

Clearance status derived from payment, so nobody queues to prove what the system already knows.

Departments

Nothing off-ledger

Faculty and departmental collections issued and tracked centrally, visible to the bursar and the auditor.

Reporting

Position, live

Collections by faculty, level and session, current rather than as at last month's close.

the ICT department losing control

01

Your fee structure as it is

Programmes, levels, instalments and the exceptions every institution actually has.

02

Your banks

Settlement to your existing accounts. We do not ask you to move your banking.

03

Parents pay

Invoices reach parents and students with a reference already attached.

04

Reconciled daily

The bursary reviews exceptions rather than performing the match.

Fee collection and reconciliation

How does automatic reconciliation actually work?

Each invoice carries a reference bound to the student or customer record. When the payment arrives — by card, transfer, USSD or bank branch — it carries that reference with it, so posting is automatic. The bursary reviews exceptions instead of performing the match against a bank statement by hand.

Do we have to change our bank?

No. Settlement goes to the accounts you already hold. A1Pay sits in front of your banking rather than replacing it.

Can it handle instalments and part payments?

Yes. Fees are set by programme, level and session, with instalment plans and part payments tracked on the record rather than in a side spreadsheet.

What about departmental and faculty collections?

Those are the ones that usually escape the ledger. Departmental collections are issued and tracked centrally, so they are visible to the bursar and the auditor rather than existing only as cash and a receipt book.

How does this connect to student clearance?

Clearance status is derived from payment on the record. Students stop queueing to prove what the system already knows, which is where most of the semester's clearance queue comes from.
